Handle joiners and leavers

Keep your headcount accurate without losing historical trends.

When someone joins

Send an invitation email from Dashboard → Employees → Invite, or share the company code. New joiners appear in the dashboard the day they answer their first check-in. Their historical tenure is computed from their first sign-in date, not their contract start date.

When someone leaves

  1. 1Dashboard → Employees → click the row → Remove.
  2. 2Choose 'Anonymise & retain' (default) or 'Delete'.
  3. 3Confirm. The change takes effect immediately — the person can no longer log in.

Anonymise & retain

Their individual account is disabled, but their past aggregated contributions stay in the numbers. This keeps the trend line honest — departures don't suddenly rewrite history.

Delete

Their aggregated contributions are erased. Use this only when required by a data-subject deletion request or similar legal obligation. Trends may shift visibly as a result.

If you sync HR data from an external system (Personio, BambooHR, etc.) a nightly job can do the joiner/leaver bookkeeping automatically. Reach out to info@bearacle.com — this ships case-by-case.
