1. Who we are
Vibeshift is operated by Bearacle LLC ("Bearacle", "we", "us"), a limited liability company registered in Wyoming, USA. Our registered address is 30 N Gould St Ste N, Sheridan, WY 82801. This policy explains what personal data we collect, why we collect it, and what we do with it.
2. What we collect
Account data — your name, email address, and the company you belong to. This is only collected when you sign up.
Wellbeing check-ins — mood, stress, sleep, and energy scores that you submit through the Vibe app. These are stored on your device first and synced to our servers in aggregate form.
Usage data — pages you visit on vibeshift.bearacle.com, anonymised analytics about feature usage, and error logs that help us fix bugs.
Billing data — handled by our payment processor. We only store the data needed to invoice you; full card details never touch our servers.
3. What we never collect
We do not collect the content of your private journals, individual open-text answers, or any data that would let your manager identify you behind an anonymised team average. These stay local to your device.
4. How we use it
To provide the service — authenticating you, delivering check-ins, computing dashboards, and generating AI briefings from aggregated team data.
To improve the product — understanding which features are useful and which are confusing.
To communicate with you — sending account emails, product updates you've opted into, and support responses.
5. Who we share it with
Infrastructure providers — Supabase (database and authentication), Vercel (hosting), Maileroo (transactional email), Google Gemini (AI inference on aggregated numbers only, no individual data). These are processors acting on our instructions.
Your employer — only aggregated, anonymised team metrics. Never individual responses, journal entries, or open-text answers.
Legal authorities — only when required by valid legal process.
6. Your rights
You can access, export, correct, or delete your personal data at any time from the account settings in the dashboard, or by emailing info@bearacle.com. We will respond within thirty days. If you are in the EU or UK, you also have the right to lodge a complaint with your local data protection authority.
7. Data retention
We keep your personal data for as long as your account is active. If you delete your account, personal data is removed within thirty days. Aggregated, fully anonymised statistics may be retained for product analytics.
8. International transfers
Our servers are hosted in the United States and the European Union, depending on the region. If you access the service from outside these regions, your data will be transferred to and processed in them. We rely on standard contractual clauses for international transfers.
9. Changes to this policy
We'll update this policy when we add features or change how data is handled. Material changes will be announced by email at least fourteen days before they take effect. The date at the top of this page reflects the last update.
